Create Segment From Identifiers

Overview

Identifier-Based Segments allow you to group contacts together for the purpose of sending them a text message at the same time, maximizing visibility and outreach.

Typically, this type of segment is most useful when you already know which specific contact you want to include, and you have a secondary data source (e.g., an Excel spreadsheet/.CSV file) containing the contact IDs or mobile numbers.

Identifier-Based Segments are always "static segments", which means the list of included contacts does not automatically update, but can be manually updated.

Note: In order for contacts to be included in a segment, they must first be imported by an Admin.

Creating an Identifier-Based Segment

1. Navigate to Segments.

2. Click [ New Segment].

3. Name your segment. Ideally, the name should make it easily identifiable later on. For example, name it based on the criteria you used to determine which contacts are included in the segment, along with the date (e.g., "Missing Transcript - March 3rd").

4. Select the identifier you want to use to determine who is in your Segment. Contact ID means you will identify contacts based on that field on their record, while Mobile Number means you will identify them by the Mobile Number field on the contact's record.

5. Copy unique identifiers (just the Contact ID or just the Mobile Number) from your data source and paste the information into the text box.

Note: Only include the Contact ID or just the Mobile Number itself; do not include other information from the contact record.

6. Click [ Create] to finish setting up the segment.


Identifier-Based Segment Management

Your Identifier-Based Segment is saved as a static segment. After a static segment has been created, it can be viewed and modified.

You have the ability to to filter segments by the user that created them and whether or not they are  Active or Archived

1. Navigate to Segments.

2. Click the dots to the right of the static segment to expose options.

  • View will allow you to see which contacts were included in the static segment, how many are opted-in to receive text messages, and add or remove contacts.
  • Message will allow you to compose a text message and send it to all contacts in the static segment.
  • Copy will allow you to make a copy of the static segment and its included contacts.
  • Export will allow you to export the segment into Excel.
  • Archive will allow you to make this segment inactive (only the creator of the segment can archive it).
  • Delete will remove the Static Segment from your list (only the creator of the segment can delete it).

Adding/Removing Contacts From an Identifier-Based Segment You Created

1. Navigate to Segments.

2. Click the dots to the right of the static segment to expose options and select View.

3A. To add more contacts to the static segment, click the [ Add Contacts] button. New contacts can be added based on Contact ID or just the Mobile Number.

3B. To remove a contact from the static segment, click the dots to the right of the contact and click Remove.

3C. To generate a .CSV file showing all contacts in your static segment, click the three dots and click Export.

Note: If there are opted-out contacts in your segment, the export will show those contacts.


Sending a Text Message to a Static Segment

There are two ways to compose a text message to send to a static segment.

Option #1: Sending a text message from the Segments page:

1. Navigate to Segments.

2. Click the dots to the right of the static segment you want to send a text message to and select Message.

3. Enter in your text message and click Next to review your message.

4. After reviewing your message, you can choose to Track as Campaign and/or Send to my assigned contacts only. You can add a campaign by typing into the box and selecting Add Campaign. You can also select a campaign that was created by another user. 

Choosing Send to my assigned contacts only will send your message to only contacts who are assigned to you. If you do not select to Send to my assigned contacts only, the message will be sent to all contacts in the segment regardless of user assignment.

Note: Any campaigns you create will filter to the top of the list.

5. Once you have reviewed your message, click Next. Choose [Send Now] to send to the static segment immediately, or [Schedule] to have the message sent at a future date and time.


Option #2: Sending a text message from the Compose page:

1. Click on [ Compose] in the upper left hand corner.

2. Click the Segments tab.

3. Search for the name of the static segment and select it from the drop-down list. Keep in mind that segments are shared for all users in the department, so you may see the names of segments you did not create in the drop down.

4. Enter in your text message. Selecting Send to my assigned contacts only will send this message only to contacts that are assigned to you. Uncheck this to send to all contacts in a segment regardless of user assignment. Click [Next] to review your message.

5. After reviewing your message, click [ Send Now] to send to the static segment immediately, or [Schedule] to have the message sent at a future date and time.

Note: You are able to send to multiple segments at once. If the same contact is in multiple segments, the contact will only be counted once in the recipient count and will only receive the text message once.
